Onsite estimating is when a contractor, estimator, or project manager physically visits a property or job site to evaluate the scope of work and determine an accurate cost for a project. Unlike a “ballpark” estimate given over the phone or by photos, onsite estimating is much more detailed and tailored to the actual conditions. Here’s what it usually entails: 1. Initial Walkthrough Meet with the client to understand their goals, budget, and expectations. Walk the site to see the project area firsthand. Take notes on visible conditions, accessibility, and any constraints. 2. Measurements & Documentation Measure dimensions (rooms, walls, openings, land, etc.). Record existing conditions (materials, finishes, utilities, structural elements). Take photos or videos for reference back at the office. 3. Site Conditions & Challenges Check for obstacles (tight spaces, low clearance, limited access for equipment). Identify issues like uneven floors, water damage, settling, or code violations. Evaluate power, plumbing, drainage, or HVAC systems if relevant. 4. Labor & Material Considerations Note what trades will be needed (carpentry, electrical, plumbing, etc.). Assess what materials are required and their availability. Estimate labor hours, considering site difficulty and crew size. 5. Logistics & Safety Assess parking, staging areas, and delivery access. Note safety concerns (hazards, protective equipment needed, demolition risks). Factor in cleanup and disposal requirements. 6. Discussion with Client Clarify any uncertainties (finish levels, brand preferences, design choices). Explain possible challenges or cost variables. Set expectations for project timeline. 7. Preparation of Estimate Compile all data collected onsite. Price out materials, labor, equipment, permits, and contingencies. Deliver a written proposal or detailed estimate.
